JOB DESCRIPTION

The Paralegal is primarily responsible for assisting lawyers and law and title associates in accurately preparing, organizing and filing various legal and title documents. Duties and responsibilities include, but are not limited to, the following: 

  • Meet with attorneys, co-workers, clients, and other professionals to discuss assigned projects.
  • Provide administrative, documentary, and ongoing research support to attorneys.
  • Research legal and title issues and supporting law by using online and offline resources.
  • Prepare and file documents with courts, counties and other governmental offices.
  • Organize and archive documents related to completed and ongoing projects, according to established standards.
  • Research and analyze statutes, regulations, legal and title articles, judicial and title decisions and underwriting, and other legal and title sources; provide written analysis to attorneys and co-workers.
  • Serve as communication liaison between the firm’s attorneys, title officers, counterparties, and clients.
  • Draft documents, send to attorney and title officers for final review.
  • Review documents to ensure factual elements (e.g., names, addresses, signature blocks, loan amounts, etc.) are current and correct, and proof for typographical errors.
  • Assemble clients’ diligence submission packages for investors, lenders, and state agencies (e.g., OHFA, HUD, USDA, etc.).
  • Perform escrow, title and survey processing.
  • Complete checklists and prepare documents for Residential and Commercial closings.
  • Assist attorneys in handling USDA, Rural Development transactions; complete USDA forms.

REQUIRED SKILLS

  • Working knowledge (conditioned upon experience) of (a) terminology, principles, and research methods for legal, title, and survey projects; (b) governmental and other offices processes; and (c) and other related matters as job may dictate.
  • Excellent project management skills.
  • Excellent verbal and written communication skills.
  • Proven ability to function well in a high-paced and at times stressful environment.
  • Excellent interpersonal and customer service skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to work effectively in a team environment.
  • Proficiency with legal and title and survey research and processing software such as LexisNexis, RamQuest and other software.
  • Proven ability to maintain confidentiality, and to exercise discretion and good judgment.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Powerpoint).
  • Proficient with RamQuest Complete Closing Enterprise.
  • Proficient with using online due diligence file sharing websites (Sharefile, Box, Dropbox, Procurem, etc.)

PREFERRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree in a relevant field such as paralegal studies, legal studies, or business law; paralegal certification a plus and title experience a plus.
  • Minimum three years’ experience as a paralegal, legal assistant, or title assistant.

PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk, typing on a keyboard, and viewing computer monitor(s).
  • Must be able to lift up to 15 pounds at times.
  • Occasional evening and weekends required, particularly during project closings.

JOB DESCRIPTION

The Escrow Officer is primarily responsible for accurately preparing real estate transactions for closing. Duties and responsibilities include, but are not limited to, the following:

  • Serve as main point of contact for all parties involved in the transaction.
  • Manage projects from beginning to end, including disbursements and recordings.
  • Establish/maintain client relationships.
  • Understand requirements to clear title in preparation for closing.
  • Complete checklists and assemble, prepare and review documents for residential and commercial closings.
  • Perform closings in accordance with company standards.
  • Assemble and review recording packages.
  • Verify and disburse closing funds.
  • Assemble closing binder and distribute to parties once closing is complete.
  • Assist legal department when necessary.

REQUIRED QUALIFICATIONS

  • Working knowledge (conditioned upon experience) of (a) terminology, principles, and research methods for real estate closing transactions; and (b) other related matters as job may dictate.
  • Commissioned State of Ohio Notary Public with Remote Online Notarization credentials (or willing to obtain).
  • Exemplary attention to detail and relentless pursuit of excellence.
  • Excellent project management skills.
  • Excellent verbal and written communication skills.
  • Proven ability to function well in a high-paced and at times stressful environment.
  • Excellent interpersonal and customer service skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to work effectively in a team environment.
  • Proficiency with project management and escrow and title processing software such as RamQuest, Monday.com, QuickBooks and other software.
  • Proven ability to maintain confidentiality, and to exercise discretion and good judgment.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree; escrow experience a plus and paralegal certification a plus.
  • Minimum two years’ experience overseeing the real estate closing process, preferably as an escrow assistant or escrow officer.
